Who we are
SYND LTD, trading as SYND Properties, company number 14617841, is the controller of your personal data. Contact us about your data at [email protected] or by post at 71-75 Shelton Street, Covent Garden, London WC2H 9JQ.
What we collect
- Enquiries and valuation requests: your name, phone number, email address, the property postcode and anything you choose to tell us.
- Emails you ask for (reminders, estimates, checklists, the monthly briefing): your email address, plus the result you asked us to send.
- Tenants registering for homes: your name, email address, area, bedrooms, budget and move date.
- Landlords who become clients: contact details, property details, bank details for paying rent, and identity checks required by law.
- Tenants: contact details, referencing and affordability information, Right to Rent documents (which show nationality and immigration status) and tenancy records. With your agreement, we also receive information about you from our referencing provider, such as credit, employment and previous landlord references.
The calculators and estimators on this website run entirely in your browser. The figures you type into them are not sent to us. If you ask us to email you a result, the result is sent with your email address so we can send it.
Why we use it and on what basis

How long we keep it
- Enquiries that do not lead to business: 12 months, then deleted.
- Client and tenancy records: six years after the tenancy or management ends, to meet tax and legal requirements.
- Right to Rent copies: for the tenancy and one year after it ends, as the law requires.
- Briefing, reminder and home alert emails: until you unsubscribe. Every email has an unsubscribe link.
- Copies of form submissions held by our form provider: deleted after 12 months.
Who we share it with
We never sell or rent your data. We share it only with providers who help us run the service, under contracts that protect it:
- Our website host and form processor, Netlify, Inc., which receives form submissions. Netlify checks submissions for spam using Akismet, a service of Automattic Inc.
- Our email provider, Google.
- ElevenLabs, which runs the AI receptionist on this website. If you use it, your messages or voice and any details you give are processed by ElevenLabs and kept for up to 12 months so we can reply.
- Our referencing provider, Referencing provider, for tenant applications.
- Our deposit protection scheme, our accountants and, where the law requires, public authorities.
We do not make decisions about you by automated means alone. A person reviews every application.
Some of these providers process data in the United States. Those transfers are covered by the UK Extension to the EU-US Data Privacy Framework or the UK International Data Transfer Agreement.
How we protect it
- This website is served only over an encrypted HTTPS connection, with strict security headers.
- The site loads no third-party scripts, fonts, trackers or advertising code. The only exception is the AI receptionist: its software loads from ElevenLabs only when you press Ask SYND.
- Forms send your details straight to our form processor over HTTPS. Nothing you type into a form is stored in your browser.
- Forms use a hidden spam trap, and Netlify's spam filter checks the text of each submission.
- Access to our email and website accounts is limited to the director and protected by two-step verification.
Cookies and storage
This website sets no cookies and uses no analytics or advertising tools, so there is nothing to consent to and no cookie banner. The landlord checklists remember your ticks in your own browser's storage so you can come back to them. That information never leaves your device and you can clear it at any time in your browser settings. If you open the AI receptionist, ElevenLabs may store a small amount of data in your browser to run the conversation.
Your rights
You can ask us for a copy of your data, to correct it, to delete it, to restrict or object to how we use it, or to move it to another provider. You can withdraw consent at any time. We reply within one month.
